Privacy Policy

The short version. We collect the account details you sign up with, the career material you give us (your resume, job descriptions), and what happens in your interview sessions. We send that material to AI providers so they can generate answer suggestions for you. We do not sell your data, we do not use it to train AI models, and we do not keep recordings of your interview audio. You can delete your account and everything in it at any time, from inside the app.
1. Who we are
InterviewAce ("InterviewAce", "we", "us") provides an AI assistant that helps people prepare for and perform in job interviews, available at interviewace.online and through our Android app.
The data controller for the purposes of the UK and EU General Data Protection Regulation is [LEGAL ENTITY NAME], [REGISTERED ADDRESS]. You can reach us at hello@interviewace.online with any question about this policy or your data.
2. What we collect
Account information
- Your email address and, if you provide one, your name.
- A hashed password if you register with a password. We store only a bcrypt hash — we never store, and cannot read, your actual password.
- If you sign in with Google: your Google account identifier, email, name and profile picture URL, supplied to us by Google.
- Your country, which we derive once from your IP address at sign-up so we understand where our users are. We store the country name, not the IP address.
Career material you give us
- Resumes and CVs you upload (PDF, DOCX, DOC or TXT, up to 10 MB). We extract the text and store that text along with the structured summary our AI produces from it. Scanned PDFs are put through optical character recognition so the text can be read.
- Job descriptions you paste or upload for a role you are targeting.
- Anything else you type into the app, including feedback you send us.
Resumes routinely contain personal data well beyond your name — employment history, education, sometimes a phone number or home address. Please upload only what you are comfortable sharing. You can delete any resume from the app at any time.
Interview and practice data
- Interview sessions: when a session ran, which AI model you used, and the answer suggestions generated during it.
- Mock interviews: the questions asked, your answers, and the AI's evaluation of them.
Technical and usage data
- Usage records — how much of your plan's allowance you have used, so we can apply plan limits fairly.
- Error and event logs — when something goes wrong we record the error, the time, and which account and session it related to, so we can fix it.
- Standard analytics about pages visited (see section 7).
Payment data
Subscriptions are handled by Stripe. Your card details go directly to Stripe and are never sent to or stored on our servers. We keep only your Stripe subscription identifier, plan, status and renewal date, so we know what you are entitled to.
3. Live interview sessions
This is the most sensitive part of the product, so we want to be precise about it.
- Audio. While a live session is running, audio from your microphone or system audio is streamed to our server in short chunks and passed straight to a speech-to-text provider. Chunks are held in memory only for as long as it takes to transcribe them. We do not save audio recordings — there is no recording of your interview for us or anyone else to retrieve later.
- Transcripts. Transcribed text is used immediately to generate a suggestion. The suggestions produced during a session are saved to that session so you can review them afterwards.
- Screen captures. If you use the "Read Screen" feature, the captured image is sent to a vision model to be read, and is held briefly in memory (a few minutes) so follow-up answers keep that context. It is not written to permanent storage.
Recording other people. Capturing call audio involves the other participants, and the law on recording conversations differs between countries and, in the United States, between states. It is your responsibility to make sure your use of live capture is lawful where you and the other participants are, and permitted by whoever is running the interview. See our Terms of Service.
4. How AI processing works
To generate suggestions we send relevant material to third-party AI providers. Depending on the feature and the model you have selected, that can include your resume text, the job description, the transcribed question, earlier suggestions from the same session, and any screen capture you requested.
We use these providers under their business and API terms. Under the terms we have agreed with them, your content is not used to train their models. We do not train any model of our own on your data, and we do not sell your data to anyone.
AI output is generated text. It can be wrong, incomplete or unsuitable — always read a suggestion before you rely on it.

6. Who we share it with
We do not sell your personal data and we do not share it for advertising. We rely on the following processors and service providers:

We may also disclose data where the law requires it, or to establish or defend legal claims. If InterviewAce is ever sold or merged, data may transfer to the buyer — we would tell you before that happened.
7. Cookies & analytics
- Essential cookies. We set an authentication cookie so you stay signed in. The service cannot work without it.
- Analytics. We use Google Analytics to understand which pages people visit and how they find us. You can opt out with Google's browser add-on, or by blocking analytics in your browser.
8. How long we keep it
- Account, resumes, job descriptions, sessions and mock interviews — kept while your account exists; deleted when you delete the item or your account.
- Interview audio — never stored; discarded as soon as it is transcribed.
- Screen captures — held in memory during a session only, for a few minutes.
- Error and event logs — kept for troubleshooting and deleted along with your account. We keep one dated record that an erasure request was carried out, as Article 17(3)(e) GDPR permits, so we can demonstrate that we complied.
- Billing records — Stripe retains transaction records for as long as tax and accounting law requires.
9. Your rights
If you are in the UK, the EU, or another region with comparable law, you have the right to access your data, to correct it, to erase it, to restrict or object to how we use it, to data portability, and to withdraw consent at any time.
Deleting your account. You can do this yourself, at any time, from the account settings in the app. It permanently erases your profile, resumes, job descriptions, sessions, mock interviews, feedback and logs, and cancels any active subscription. It cannot be undone. If anything goes wrong, email hello@interviewace.online and we will do it manually.
Marketing email. Every marketing email carries an unsubscribe link, and it works without signing in.
California residents. We do not sell or share personal information as the CCPA and CPRA define those terms. You have the right to know, to delete, to correct, and not to be discriminated against for exercising those rights.
To exercise any right, email hello@interviewace.online. We respond within 30 days. If you believe we have mishandled your data, you can complain to your local data protection authority.
10. Security
Traffic is encrypted with TLS. Passwords are stored as bcrypt hashes. Access to production systems is limited to those who need it. Your session cookie is scoped to our own domain and is never forwarded to third parties. No system is perfectly secure, but if a breach affects your personal data we will notify you and the relevant regulator as the law requires.
11. International transfers
Our providers are largely based in the United States, so your data will be transferred outside the UK and EEA. Those transfers rely on the safeguards in Article 46 GDPR — typically the European Commission's Standard Contractual Clauses, or an adequacy decision such as the EU-US Data Privacy Framework where the provider is certified under it.
12. Children
InterviewAce is not intended for anyone under 16, and we do not knowingly collect data from children. If you believe a child has given us data, contact us and we will delete it.
13. Changes
If we change this policy we will update the date at the top of the page. Where a change materially affects your rights, we will tell you by email or in the app before it takes effect.
